What is show rate?

Quick answer

Show rate is the percentage of patients with a booked consultation who actually walk into the clinic for that appointment, measured over a week or a month.

What it means

Show rate measures the gap between a booking and a walk-in. A full diary means little if a third of those patients never arrive. Each empty slot is the doctor's time lost, front desk effort wasted and ad money spent for nothing.

Most patients who miss an appointment are not being rude. They forgot, they never felt fully committed, or something more urgent came up and nobody reminded them. That is good news, because all three can be fixed with a simple system.

How to calculate it

Show rate = patients who walked in ÷ consultations booked for that period × 100

Count rescheduled patients against the new date, not the old one, so you do not count the same person twice.

For example, a clinic has 80 consultations booked for the week. 56 patients walk in. Show rate = 56 ÷ 80 × 100 = 70%.

What good looks like

HBA's benchmark is a show rate of 60 to 75%. Above that is excellent. Below 60% usually means the gap between booking and appointment is too long, or reminders are missing. Compare all your stage numbers in the clinic growth benchmarks.

How to improve it

  • Send a WhatsApp confirmation straight after booking with the date, time, map pin and the doctor's name.
  • Send a reminder the day before that asks the patient to reply to confirm, and another two hours before the visit.
  • Share a short pre-visit video from the doctor, so the patient knows who they will meet and what will happen.
  • Book closer dates where you can. The longer the wait, the more patients drift away.
  • Call every no-show on the same day to reschedule, kindly and without blame.

Frequently asked questions

What is a good show rate for a clinic in India?

HBA's benchmark is 60 to 75% of booked patients walking in. If you are below 60%, start with reminders: a WhatsApp confirmation at booking, a reply-to-confirm message the day before and a short reminder two hours before. Then look at how far ahead appointments are being booked.

Should clinics charge a booking amount to improve show rate?

A small amount that is adjusted against the bill can raise commitment for some clinics, but it can also reduce bookings. Test it carefully and measure booking rate and show rate together. Better reminders and a warm pre-visit message often lift show rate without adding any friction.
