Booking rate is the percentage of new enquiries, across calls, WhatsApp, forms and DMs, that turn into a confirmed consultation with a fixed date and time.
What it means
Booking rate shows how well your front desk turns interest into an appointment. Every enquiry is a patient who raised a hand. Booking rate tells you how many of those hands became a name in your appointment diary.
A low booking rate usually has one of three causes. The reply came too late, the front desk led with price instead of the patient's concern, or nobody offered a specific slot. A patient who is told "come any time" often never comes at all.
It is also the stage where clinics most often blame the leads. Before you decide the leads are poor, listen to how they were handled. In most clinics, the conversation is the bigger problem.
How to calculate it
Booking rate = consultations booked ÷ new enquiries × 100
Count unique patients, not messages. Two WhatsApp messages and a call from the same person is one enquiry. Include every channel so the number is honest.
For example, a clinic receives 200 new enquiries in a month and books 60 consultations from them. Booking rate = 60 ÷ 200 × 100 = 30%.
What good looks like
HBA's benchmark is a booking rate of 25 to 40% of all enquiries. If yours is below 25%, check speed to lead first. If replies go out within five minutes and bookings are still low, the problem is usually the conversation itself.
How to improve it
- Train the front desk to ask about the concern and the reason for acting now before talking about price. Our front desk scripts follow this order.
- When a patient asks "kitna lagega", give an honest range with what it depends on, then move to booking.
- Always offer two specific slots, such as "Thursday at 5 or Saturday at 11", instead of asking when they are free.
- Confirm every booking on WhatsApp straight away with the date, time, location pin and doctor's name.
- Follow up enquiries who did not book on a fixed schedule rather than leaving them in the chat.

Frequently asked questions
What is a good booking rate for a clinic?
HBA's benchmark is 25 to 40% of all new enquiries booking a consultation. Below that, the leak is usually a slow first reply, a price quoted without context, or no specific slot offered. Measure it weekly by channel, because WhatsApp, calls and ad leads often book at very different rates.
Should the front desk share prices before booking?
Yes, honestly, but not as a bare number. Share a range and what it depends on, then explain that the doctor will confirm the right plan after seeing the patient. Hiding the price frustrates patients, while a number with no context sends them off to compare clinics on price alone.
