What is attribution?

Quick answer

Attribution is the process of tracking which marketing source, such as Google, Instagram, referrals or walk-ins, brought each enquiry and each treated patient to a clinic.

What it means

Attribution answers the question every clinic owner asks: what is actually working? It links each enquiry, and ideally each treated patient, back to the source that brought them. That might be a Google search ad, a Meta campaign, the Google Business Profile, a referral or a doctor's Instagram reel.

Without attribution, decisions rest on guesses. Clinics cut the channel that was quietly bringing their best patients, or keep paying for one that brings cheap leads who never book. Good attribution needs both technology and habit: tracking numbers and forms on one side, and a front desk that asks and records the source on the other.

How to calculate it

Attribution coverage = treated patients with a known source ÷ all treated patients × 100

Once coverage is high, you can work out cost per new patient and revenue for each source.

For example, a clinic treats 60 new patients in a month. The source is recorded for 48 of them. Attribution coverage = 48 ÷ 60 × 100 = 80%. The other 12 patients are invisible when you judge your marketing.

What good looks like

HBA does not publish a coverage benchmark. The goal is that every new patient has a recorded source, and HBA checks it weekly. With good attribution you can hold each channel to the cost per new patient benchmark of 10 to 20% of first-year value.

How to improve it

  • Use separate tracking numbers or links for each major channel, and connect forms and WhatsApp to your CRM.
  • Ask "how did you hear about us?" at every booking and record the answer, even when tracking exists.
  • Match enquiries to treated patients and payments, not just to leads.
  • Set up tracking and attribution properly before you scale any ad budget.
  • Review results by source every week in a simple growth dashboard.

Frequently asked questions

How can a clinic track where patients come from?

Combine tracking with habit. Use separate tracking numbers, links and forms for each channel, connect them to a CRM, and train the front desk to ask every new patient how they heard about you. Then match each patient to their payments, so you see revenue by source, not just enquiries.

Why do ad platforms and clinic records disagree on results?

Platforms see clicks and form fills inside their own system, and often claim credit for the same patient. Your clinic sees who actually walked in and paid. Treat platform reports as signals, and use your own CRM and billing records, matched to sources, as the final word.
