Answer rate is the share of incoming calls to a clinic that a real person answers live during working hours, shown as a percentage of all calls received.
What it means
Answer rate tells you how many patients who rang your clinic actually reached a human. Not a voicemail, not a ringing line, not a callback three hours later. A patient who calls is at the warmest point of their decision. If nobody answers, most will simply call the next clinic on Google.
Missed calls are the most expensive leak in a practice, because you have already paid for that call through ads, your Google profile or years of reputation. Answer rate is the first number in the patient journey, so every number after it depends on it.
How to calculate it
Answer rate = calls answered live by a person ÷ total incoming calls in working hours × 100
Count only working hours, and count every line: the main number, the doctor's mobile if patients use it, and any ad tracking numbers.
For example, a clinic receives 400 calls in a month during working hours. The front desk answers 340 of them live. Answer rate = 340 ÷ 400 × 100 = 85%. That means 60 callers reached nobody.
What good looks like
HBA's benchmark is an answer rate of at least 95% in working hours. You can compare your other stage numbers against the full set in our clinic growth benchmarks for India. If you are below 95%, fix this before you spend another rupee on ads.
How to improve it
- Pull a missed call report every day and call every missed number back within minutes, not at the end of the shift.
- Give one person clear ownership of the phone during peak hours, such as the morning rush and early evening, so it never rings out while the front desk handles billing.
- Add a second line or call forwarding so a busy line rolls over to another phone instead of a busy tone.
- Send an instant WhatsApp message to missed callers saying you will call back shortly, then actually call.
- Run a mystery call audit to hear how your calls are answered, not just how many.

Frequently asked questions
What is a good answer rate for a clinic in India?
HBA's benchmark is at least 95% of calls answered live by a person during working hours. Anything lower means patients who were ready to book are reaching nobody, and many of them will call another clinic within minutes. Fix answer rate before you increase your ad budget.
Does calling back a missed call count as answered?
No. Answer rate counts only calls a person picked up live. Track missed call callbacks as a separate number, and aim to call back within minutes. A quick callback recovers some patients, but many will have already booked elsewhere by the time you return the call.
