How an Ahmedabad Doctor Should Choose a Healthcare Marketing Agency

Quick answer

An Ahmedabad doctor should choose a healthcare marketing agency on cost per treated patient, not cost per lead, and agree a weekly scorecard in writing before signing. Be careful with pay-per-lead deals that reward volume over quality. Ask who owns the accounts, how they handle Gujarati content and targeting across the city and nearby towns, and whether they will audit your front desk.

An Ahmedabad dentist forwarded me an offer he thought was too good to refuse. "No monthly fee. Pay only ₹300 per lead." It sounded like the safest deal possible. Why pay a retainer when you can pay only for results?

Because a lead is not a result. A month later he had paid for a long list of names. Many had wrong numbers, some had enquired about something he didn't offer, and a few had never heard of his clinic. The agency had done exactly what it was paid to do: produce leads. Nobody was paid to produce patients.

So here is how I would choose an agency in Ahmedabad, if I wanted value for every rupee.

What are you actually buying from an agency?

Treated patients, at a cost that makes sense for your clinic. That is the outcome. But it depends on two halves:

  • The half the agency controls: targeting, creatives, keywords, landing pages, tracking and reporting.
  • The half you control: how fast your front desk replies, whether patients book and show up, your consultation, your pricing and follow-up.

A good agency is honest about both, and helps you fix your half. A weak one hides behind cheap leads and blames your team.

Pay per lead, retainer or performance: which works?

Model How it works The catch
Pay per lead You pay for every enquiry Rewards volume, not quality. Cheap, unqualified leads cost you staff time and patients
Monthly retainer A fixed fee for agreed work, plus your ad spend Only works with a clear written scorecard and weekly reporting
Retainer plus a bonus on treated patients A fixed fee, with a bonus when agreed patient targets are met Needs proper tracking from enquiry to treatment in your CRM

Whatever the model, insist on one thing: the agency reports on treated patients and cost per treated patient, not just leads. Here is an example of why. Say the pay-per-lead deal gave 200 leads at ₹300, so ₹60,000, and 3 became patients. That is ₹20,000 per treated patient. A retainer agency spending a similar ₹65,000 in total brings 70 leads and 9 patients, about ₹7,200 per treated patient. The "safe" deal was nearly three times more expensive.

What should an Ahmedabad doctor ask before signing?

  1. What will you report every week, and will it include booked, shown and treated patients by channel?
  2. Who owns the ad accounts, website, domain, tracking and Google profile? It should be your clinic.
  3. Who writes and checks our Gujarati content, and will the doctor approve every script?
  4. How will you target across Ahmedabad, both sides of the river, Gandhinagar and nearby towns?
  5. Will you listen to recorded calls and audit our WhatsApp replies in the first month?
  6. How do you keep ads within medical advertising rules, with no guarantees, no shame, consent for patient material and a check of the current NMC regulations?
  7. How many new creatives a week, and who records them?
  8. What is the notice period, and what exactly do we keep if we part ways?

What are the red flags?

  • A guaranteed number of patients, or a guaranteed top ranking.
  • Ad accounts or the Google profile created in the agency's name.
  • Reports full of reach, impressions and followers, with nothing about patients.
  • "We can get you lots of reviews quickly."
  • The same copied posts for every greeting day, with nothing about your actual niche.
  • A discount campaign as the main idea, month after month.
  • No questions at all about your fee sheet, your front desk or your consultation.

How do you check an agency before you commit?

Four simple steps protect you.

  1. Ask for an anonymised weekly report from a current clinic. If they can't show you cost per treated patient, they don't track it.
  2. Speak to two clinics they work with now, not just the testimonials on their website. Our own anonymised stories are on our client stories page, and good agencies will share theirs.
  3. Agree the scorecard in writing: the numbers, the benchmarks and who owns each one.
  4. Start with a clear 90-day test, with the first month spent on tracking, the front desk and your top condition page, before scaling spend.

Does the agency have to be in Ahmedabad? Not necessarily. Plenty of good work happens on video calls. We work with clinics across India, including Ahmedabad, mostly on video calls. What matters is that they understand how your patients decide and that you meet weekly to look at the numbers. You can see how we run that on our how we work page.

What should the first 30 days look like?

Before the budget goes up, a good agency spends the first month on the foundations:

  • Every enquiry from every source flowing into one CRM, tagged and visible.
  • A tracked number on your Google profile and tagged links on your site.
  • A short audit of recorded calls and WhatsApp chats, with the leaks named plainly.
  • Your top condition page built in Gujarati and English.
  • A written plan for the first paid channel: budget, test period and the number it will be judged on.

If month one is only new logos and social media greetings, you have hired a design studio, not a growth partner.

What should you measure once you hire one?

The same short list every Monday, with your team and the agency together:

  • Enquiries by source, and speed to first contact: under five minutes.
  • Booking rate: 25 to 40%. Show rate: 60 to 75%.
  • Consult conversion: 30 to 50% for elective care.
  • Cost per treated patient: no more than 10 to 20% of first-year value.

Give a new agency at least three months of proper testing before judging. Changing partners every two months means nobody ever learns what works. If you want an independent view of what your clinic needs first, that is part of our growth consulting.

The short version

  • You are buying treated patients, not leads.
  • Be careful with pay-per-lead deals, and always ask for cost per treated patient.
  • Own every account, and agree a written weekly scorecard before signing.
  • Check real reports and speak to current clinics, then run a 90-day test.
  • More for Ahmedabad clinics is on our Ahmedabad page, or book a free growth call.

Frequently asked questions

Is a pay-per-lead marketing deal good for an Ahmedabad clinic?

Usually not on its own, because it rewards the agency for volume rather than quality. You can end up paying for wrong numbers, people outside your catchment and enquiries for services you don't offer. If you consider one, insist on qualifying questions, a definition of a valid lead in writing, and reporting all the way to treated patients.

What should be in a contract with a healthcare marketing agency?

The scope of work, the fee and how ad spend is handled, a weekly scorecard with the numbers that will be reported, ownership of every account and asset by your clinic, compliance with medical advertising rules, the notice period and what you keep on exit. Have a lawyer review the final agreement before you sign it.

Should I choose an agency based in Ahmedabad?

Choose on understanding and reporting rather than location. A good agency should know how Ahmedabad families decide, how to write in Gujarati, and how to target your side of the city and nearby towns. Many clinics work well with agencies on video calls. A fixed weekly numbers review matters far more than a nearby office.

How do I know if my current agency is working?

Ask for one number: cost per treated patient, by channel, for the last three months. If they can't give it, tracking is broken. If they can, compare it with 10 to 20% of a patient's first-year value. Also check whether enquiries are rising and whether your booking and show rates are near benchmark.
